Your first 30 days as a clinician on TherapyConnectData

A practical evaluation walkthrough for licensed clinicians deciding whether the platform fits your practice. What to set up, where the value is, and when (and whether) to upgrade.

Day 1 — 30 minutes

Set up your account & import 3 active clients

Sign up on the web dashboard or the mobile app (iOS / Android). The Free tier supports up to 3 client profiles and 1 caseload — enough to evaluate the platform on real cases without committing.

Pick 3 active clients from your current caseload — ideally a mix: one who's progressing well (you'll see how the data tells that story), one who's stuck (you'll use the library to try a different angle), and one new intake (you'll see the criteria-matching at work from scratch).

For each: create the profile with name, DOB, primary discipline (SLP / OT / ABA), top 2–3 goals, and any active programs you're currently running. Don't migrate years of historical data — start clean from today and let new sessions build the chart.

Evaluation tip: use clients you've worked with for 3+ months as your evaluation cohort. You already have intuition about what the data should show — if the platform's charts don't match your gut, that's important signal.

Days 2–3 — 45 min/client

Build a plan with the criteria-matched library

Open the library. Filter by domain (receptive / expressive / social / fine motor / gross motor / pragmatic / academic) and by your client's current developmental level. The criteria-matching algorithm ranks programs by how well they fit the profile you set up — not by category alphabetical order.

For each evaluation client, build out 4–6 active programs. Each program comes with the SD, expected response, mastery criteria, materials list, and prerequisite chain. Edit anything before you save — they're starting templates, not contracts.

If you find yourself wishing the library had a specific program: write your own. Custom programs save to your library and can be shared with your team (PRO Team) or kept private.

Week 1 — your normal session schedule

Run sessions & log data the way you already do

Don't change your clinical workflow this week. Run your sessions as you normally would, and log them in TherapyConnect alongside (or instead of) your current system.

The mobile app is built for tap-during-session use: trial-by-trial accuracy, frequency counts, duration timers, ABC behavior chains. The web dashboard is built for write-after-session use: contact notes with electronic signatures, session timesheets, progress narratives.

After 5–7 sessions on each evaluation client, you'll have enough data to compare. Open each program's chart — does the trend line match what your gut says is happening? If yes, the platform is reading your practice correctly. If no, dig into why — usually the SD or mastery criteria need a tweak that you'd have made anyway in your old system.

PRO unlock: writing new contact notes (with e-signatures) and progress reports requires PRO Solo. Free tier can read existing notes. The mobile session-data tools work on Free for the 3-client cap.

Week 2 — 30 min per report

Generate a progress report — compare to how you write them now

By the end of week two you'll have ~10 sessions logged per evaluation client. Generate a progress report on one of them. The report pulls session counts, accuracy trends per program, mastery dates, and any notes you've written. AI Fill drafts the narrative paragraphs from that data — you edit, sign, and export.

Compare it to a progress report you wrote last quarter the manual way. Two questions:

  • How long did the manual one take? (For most clinicians: 60–90 minutes per report.)
  • How long did this one take? (For most clinicians: 15–25 minutes including edits.)

If the time savings × number of reports/month makes the PRO Solo subscription pay for itself, that's your answer for Solo. If you're a 1-clinician practice, this is usually the deciding step.

Week 3 — only if you have a team

When PRO Team makes sense for your practice

If you're solo, skip this section — PRO Solo is your tier. PRO Team is for practices with 3+ clinicians who share clients, or for institutions (schools, clinics, intervention centres) deploying the platform to a team of therapists.

PRO Team adds (on top of PRO Solo for each seat):

  • Shared caseloads — multiple clinicians on the same client without duplicate-data headaches
  • Supervisor read-only view — BCBAs / clinical directors see all team data without taking over sessions
  • Supervision-hour tracking aligned with BACB requirements
  • BCBA approval flow on signed notes — no more "did the BCBA review this?" Slack messages
  • 1 hour/month team video consultation with an experienced clinician (Dr. Quiñones or assigned specialist) — included
  • Custom institutional branding on patient-facing reports

$29/seat/mo, 3-seat minimum, $278.40/seat/year (save 2 months) on annual. Onboarding training and additional supervision packages are quoted separately based on team size.

Evaluation tip: if your practice has a BCBA (or equivalent supervisor) reviewing notes, the BCBA approval flow alone usually justifies Team. The supervision-hour tracking is a meaningful side-benefit if anyone on your team is accruing hours toward certification.

Anytime — case-by-case

When PRO Personal makes sense (case consultation)

PRO Personal isn't really a clinician tier — it's a high-touch concierge service for parents. But there are two clinician scenarios where it works:

  • You want clinical case consultation on a specific client — book the consultation tier instead. PRO Personal's monthly hour + WhatsApp triage is built for parents, not for licensed-clinician peer consultation.
  • You're a clinician AND a parent of a child with developmental needs — PRO Personal then makes sense for you in your parent role, separate from your professional account.

For most clinicians, the path is: Free for evaluation → PRO Solo if it pays for itself in time saved → PRO Team if you have a team to bring along. Skip PRO Personal in your professional capacity unless one of the two scenarios above applies.
